Role Overview: Program Coordinator
The Program Coordinator (PC) plays a vital role in managing the day-to-day operations of The Max Foundation’s programs in the Philippines. Reporting directly to the Program Officer, this contractor position involves a mix of administrative coordination, patient engagement, logistics management, and stakeholder collaboration.
This is not just an administrative role, it is a frontline position where you will directly impact patients’ lives by ensuring access to treatment, care, and support systems.
Key Responsibilities
As a Program Coordinator, you will be responsible for a wide range of duties that ensure smooth program implementation and patient support:
Program Operations & Administration
You will oversee the daily functioning of support programs, ensuring that all activities align with established organizational guidelines. This includes managing documentation, coordinating logistics, and maintaining operational efficiency.
Patient Support & Engagement
A critical part of your role involves working directly with patients. You will assist in enrolling eligible patients into programs, ensure compliance, and provide emotional support and basic disease education when necessary.
Collaboration with Healthcare Professionals
You will work closely with physicians, nurses, pharmacists, and other healthcare stakeholders. This collaboration ensures that patients receive timely access to medication and appropriate care.
Logistics & Supply Chain Coordination
The role includes supporting the importation and distribution of donated medicines. You will assist clinics in navigating customs clearance and ensuring that life-saving treatments reach patients without delay.
Data Management & Reporting
Maintaining accurate and up-to-date database records is essential. You will also report adverse events within 24 hours, ensuring compliance with safety and program protocols.
Advocacy & Storytelling
You will help amplify patient voices by collecting and sharing their stories. These narratives play a powerful role in advocacy and awareness campaigns.
Stakeholder Communication
Clear and professional communication with patients, healthcare professionals, and partner organizations is crucial. You will also provide regular updates to the Program Officer and support reporting processes.
Required Qualifications
To succeed in this role, candidates should meet the following criteria:
- A diploma is required; a bachelor’s degree in Social Work, Public Health, Nursing, or a related field is preferred
- At least one year of experience in a healthcare-related field
- Experience in medicine management or supply chain is an added advantage
- Strong communication skills to engage effectively with diverse stakeholders
- Fluency in English and Filipino
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint)
- Strong organizational and documentation skills
- Ability to work independently and manage tasks efficiently
- Willingness to work weekends when necessary
- Must possess personal transportation
